Program Coordinator

Your goal as Program Coordinator is to create, plan and execute the provision of fun and safe environments by ensuring that all elements of your program have been considered, planned for, assessed for risk and carried out in the most effective manner.

The Program Coordinator reports directly to the Operations Manager.

All Camp Kiah job roles have an element of face to face contact with young people.

Core Responsibilities

  • Planning and Coordination of a program and it’s activities
  • Ensuring the implementation of policies and procedures within the planned program
  • Assisting services with gaining information about our programs via telephone and email
  • Communicating with referring agency about the support needs of the young person being registered for camp/ support
  • Gathering relevant information to assess the suitability of new referrals for their program
  • Gather and collate information required to support young people at camp
  • Attending Program meetings to present new young people to the team and discuss/ assess suitability for each program
  • Participate in training, supervision and meetings
  • Engage in program activities where suitable to gather an understanding of what occurs during program
  • Support program coordinators in any other reasonable administrative or intake related matter to ensure that communication between the team is effective, efficient and successful
  • Communicate with staff re: behaviours of concern, trauma history, intentions of stay and likely triggers, or incident response strategies required
  • Gather medication information, create medication sheets and provide to staff prior to or upon arrival at camp
  • Assist with identifying, training and supporting Key Workers to support young people engaged in the 1:1 program. Work with these Key Workers to ensure that all information and actions are completed and recorded
  • Facilitate meetings with CK staff re: young people where required
  • Provide Oncall staff with required information for young people at camp on their duty night/ weekend
  • Attend Care Team Meetings representing Camp Kiah and reporting back information gathered from Camp Leaders
  • Organise and assist in facilitating pre and post camp briefings
  • Complete all camp planning to ensure that camp runs smoothly, and all invested parties have the information they require (staff, carers, workers, agencies)
  • Complete camp detail information (pick up and drop off sheets, menu, camp attendee details and program) and provide to staff before each camp
  • Ensure all receipts are forwarded to CFO promptly
  • Ensure camp cars are maintained and where required book hire cars in advance

Camp Duties

  • Support transports
    • Coordinate picking up/ dropping off young people – Ensure staff have all required information to safely collect children and young people. (Contact information, medication information, feedback, appropriate vehicle for transport).
  • Engage with children and young people on both a group and individual level 

  • Support any designated activities 

  • Lead designated activities
  • Support in-camp meal preparations (Camp Mum)
  • Support in-camp activity preparations
  • Assist with setting up and packing of the camp (cleaning, packing and listing resources that need replacing) 

  • Complete and file incident reports when required 

  • Ensure young people are supervised at all times (Ratio of staff to young people = 1:4)
  • Sleep in the designated area or outside where required

  • Set rules/boundaries for the young people to follow and if appropriate, enforce rewards and consequences.
  • Sit with young people in times of self-reflection
  • Adhere to the camp program and guidelines at all times
  • Support staff where required – ensuring that they are functioning at their highest capacity, having breaks and feel confident to push boundaries knowing they have your support

Administration Duties

  • Maintaining a budget and tracking spending
  • Rostering all Camp Leaders
  • Communicating required information to Camp Leaders before and after their shift.
  • Ensure all young people are registered with correct registration information
  • Provide accurate billing information and camp confirmation to Chief Financial Officer (CFO) to follow up invoices and ensure payment
  • Ensuring all Case Notes are completed
  • Ensuring that all medication is given, recorded and stored correctly
  • Complete new risk assessments

Reporting Duties

  • Provide reports in NDIS and/or Child Protection relevant format, collating information provided by Camp Leaders
  • Update Therapeutic Spreadsheet to indicate young people requiring feedback, provide deadlines for feedback, proof read and send feedback to relevant carer, guardian or service
  • Report any child protection concerns directly to the Program Coordinator and if requested contact relevant agencies

Additional Duties

  • Help build positive relations within the team and with external parties
  • Maintain the highest standard of professional conduct 

  • Complete any other additional and reasonable work-related request from Camp Kiah management
  • Attend training and courses and review learning materials selected by Management

Requirements

  • Flexibility in working hours and days.
  • Qualification in related field.
  • Experience working with clients that are affected by issues including neglect, child abuse, domestic violence, mental health, and parental substance abuse.
  • Ability to give full attention to what social service clients are saying, understand the points being made, ask questions, and not interrupt inappropriately.
  • Awareness of others’ reactions and understanding why they react as they do.
  • Comfortable using a computer for various tasks.
  • Proficient in word, excel, outlook, and powerPoint.
  • Ability to stay calm and empathize with clients when they are upset.
  • Able to develop a treatment/behaviour/safety plan.
  • Knowledge of crisis intervention.
  • Valid driver's license.

Camp Kiah (Wallan, Victoria)
Therapeutic Support/Camp Therapist

camp-kiah-image-asset.pngCamp Kiah is a therapeutic camp, created with a therapeutic play theoretical underpinning. As such we use diagnostically targeted and trauma informed attachment theory and focus on building a secure base for the children/young people while they are in our care. It is then our hope to work systemically with all other agencies and adults involved in their care to transition these attachments onto those who will be providing the ongoing support. This is particularly relevant for our participants who have a dual diagnosis of disability and mental health concerns or are living in an environment where these are daily contributing factors.

It is the responsibility of the therapeutic support to ensure that all programs, activities, interventions and interactions that occur on camp align with this theoretical underpinning, our vision, our mission and our values.

Core Responsibilities

  • Provide on program support and intervention for all young people accessing our services
  • Create, implement and review therapeutic activities as part of the larger program. These will align with the needs of the young person/people, the theme of the program and the developmental level of the young people attending.
  • To provide feedback for any young person engaged in our program that highlights an ongoing need. In particular first-time attendees, all campers attending with increased ratio, campers making disclosures, or demonstrating new or challenging behaviours.
  • Work alongside Care Teams in providing feedback that assist with making assessments of young people to best determine the most appropriate therapeutic interventions required.

Administration Duties

  • To provide support for all staff during programs
  • To provide secondary consultation to care teams as required
  • To participate in Team Meetings / Care Team meetings for the purpose of planning, review and reinforcing the therapeutic interventions for young people
  • To work directly with young people and their families, where more complex responses as required
  • To provide group work to young people addressing a range of issues
  • Active involvement in regular supervision
  • Be available to work flexible hours including evenings where required
  • Maintain appropriate case file documentation and engage in relevant data collection activities. Carry out administrative and program monitoring tasks as required
  • Participate in Camp Kiah program planning as required
  • Build cooperative partnerships with Care Teams and other professionals in the sector

Reporting Duties

  • Report to the Therapeutic Team, which meets once a week to review all young people actively engaged in our programs.
  • Provide all feedback to Program Coordinators who disseminate information to ensure that all communication channels are concise and clear for external agencies.
  • All Child Protection reports will be completed either by, or in conjunction with the Therapeutic Support to ensure that all Policy 5 - Child Protection can be upheld.
  • Therapeutic Support have a responsibility to ensure that the Reportable Conduct Scheme is upheld for all young people engaged in program.
  • Therapeutic Support has a responsibility to ensure that the rights of the person with a disability are upheld at all times when accessing our programs.

Requirements

  • Registration with an Allied Health regulatory body
  • A relevant tertiary qualification in Social Work, Psychology, Play Therapy, Art Therapy, Expressive Therapies, Early Childhood Specialist and/or related behavioural sciences at degree level 2.
  • Experience working with young people who have complex needs
  • A strong ability to develop therapeutic alliances with young people who have experienced significant family disruption, personal trauma and those who present with complex needs and dual diagnosis - disability and mental health concerns.
  • A sound understanding of the theories relating to trauma and attachment as they relate to delivering a therapeutic response to young people.
  • An ability to select and utilise relevant theoretical frameworks and tools in formulating suitable interventions of young people.
  • The ability to work with Care teams to implement therapeutic interventions
  • Ability to provide secondary consultation in relation to young people who present with complex needs, taking into consideration the most appropriate immediate response as well as short term, medium term and long-term needs
  • Ability to utilise regular supervision and professional development
  • An ability to deliver therapeutic training/workshops as required
  • Flexible working hours - must be available to work weekends and school holidays periods as a majority of our programs run on a weekend

About the role

The successful applicants day to day duties would include safety briefings to schools on arrival, running 90 minute activity sessions for groups of up to 15 children, basic kitchen duties and cleaning. We are looking for a safety conscious, hard working person with a positive attitude, and who is very good with children.

Hours normally fall between 7am and 7pm Monday to Friday.

You may also be required to work the occasional weekend.

You can expect to work between 1 and 5 days per week. Full-time positions can become available at any time and are mostly offered to our casual employees.

With the native wildlife and beautiful views, we don't think there are too many better locations to work in Australia. Our camp is set on 1000 acres, giving us plenty of opportunities to explore once our work day is done. The role operates Monday to Friday and is available on a full‑time or part‑time basis, depending on the right candidate.

Catering is completed by 6.00 pm, with no late‑night service, offering genuine work–life balance.

During school holiday periods, catering requirements reduce significantly, with the role primarily focused on food supervision and preparation for the on‑site kiosk.

This position is structured around school camp schedules and is not a traditional restaurant‑style role.

About the Camp

The YMCA Lady Northcote is a Recreation Camp located in Rowsley, just outside of Bacchus Marsh, 67 km west of Melbourne. The surrounding environment is rural. Lady Northcote accommodates a range of groups from 10 up to 250 people and operates all year. The Camp is owned by the State Government of Victoria and managed by YMCA Victoria, under a 21 year lease that concludes in the year 2041. The camp’s outdoor program takes place on the camp site, and the surrounding Brisbane Ranges using a variety of outdoor and adventure based activities.

About the Role

Living onsite, the Camp Manager is the key leadership position, responsible for the business operations and development. Fostering continuous improvement and ensuring high quality outcomes across all services within the camp, the Camp Manager will liaise directly with all camp staff, department heads, clients and business partners to deliver service excellence. You will be responsible for:

  • Developing, leading, delivering best practice operations and facility management with continual improvement through quality assurance
  • Inspiring and motivating camp staff to deliver service excellence by promoting a culture of continuous learning, development and where personal accountability is promoted
  • Ensuring that YMCA policies, procedures, work practices and standard operating procedures are being met and followed in all service departments
  • Responding to client needs, concerns, complaints and resolving where necessary, as they arise and in a timely fashion
  • Upholding the values of the Y at all times

This is a full-time permanent position with an annual salary of $127,858 per annum + Super & Y Benefits.

Salary Range

Pay rates for qualified Instructors range from $32 to $50 per hour, day rates range from $240- $445 plus additional allowances.

  • Australian or New Zealand residency or a current working visa with clear travel plans.

The Urban Challenge experience redefines outdoor education. Each program is an innovative, unfolding adventure which enables high school students in years 8 -12 to discover the culture of Sydney in a fast-paced team environment. 

Whilst on The Urban Challenge, students will take responsibility for managing their team’s budget, meals and transportation around Sydney. They will participate in a range of exciting activities and complete various team challenges along the way.

Our team of Guides are a friendly and energetic group of individuals with a diverse range of experience and expertise. They facilitate day programs and overnight programs that range from 2 to 5 days. We are looking for suitable candidates to join our expanding team!

Availability:

Applicants must be available for to stay overnight on programs, and be looking for an ongoing commitment for work throughout the year. Our programs run through the NSW school calendar and we provide paid training and ongoing development. 

Experience and Qualifications:

  • Working Knowledge of Aust National Curriculum and its application in residential and journey-based school camps highly regarded.

  • Wilderness First Aid and a current driver's licence.

We are hiring and have the positions open to join our amazing team of causal Activity Instructor. Your daily role includes working directly and indirectly with clients, safety briefings and site tours for our schools upon arrival, running and facilitating activity sessions for groups of up to 15 children, Activity and grounds maintenance, basic kitchen duties and service with our Kitchen team and housekeeping / cleaning duties on our mid-week change over days and at the end of week. 

We are looking for a safety conscious, reliable, hard-working person with a positive attitude, MUST be excellent with communicating with young children, great with public speaking and fantastic time management. 

Successful applicant must be able to work independently and in a group environment who is extremely reliable, excellent communication, time management and who is task orientated. 

Hours normally fall between 7am and 8pm Monday to Thursday with an early 3pm finish on Fridays. However, Activities run normally between 9am-4pm You may also be asked to work the occasional weekend but not required.

You can expect to be rostered between 2 and 5 days per week during the peak season Term 1 and 4 when groups are booked, during our off-peak season hours will depend on our Bookings a great time to go overseas or work the snow season! There is no accommodation on site, but you are more than welcome to pitch a tent if needing to stay onsite. 

Successful candidate MUST have the following or willing to obtain prior to start date.  

  • Current WWC - Or willing to obtain prior to start date
  • First aid - Or willing to obtain prior to start date
  • Food handlers' certificate - Or willing to obtain prior to start date

Requirements

  • Current Remote Area or Wilderness First Aid
  • Australian or New Zealand residency or a current working visa with clear travel plans.
  • Child Safe Environments, Responding to Abuse and Neglect;
  • DSCI clearance (working with children clearance) South Australia
  • MR (bus) License (preferable); will need to obtain Driver Accreditation on commencement.
  • Surf Rescue Certificate or Bronze Medallion.

Wilderness Escape has been providing schools and other groups with quality outdoor programs for 28 years and is the largest provider of school camps, excursions and outdoor pursuits in South Australia and one of the largest on a national scale.  We provide outdoor experiences to schools from a junior primary level up to senior secondary.
